Medical Clinic Front Desk Lead

Pay Rate: $24.00 – $29.00 Hourly

Summary: Neaman Plastic Surgery & Medi Spa is the premiere invasive and non-invasive body contouring destination in the Willamette Valley. We are seeking an experienced and highly organized Front Desk Lead with 5+ years of experience in a fast-paced medical clinic setting. This role is responsible for overseeing daily front office operations, ensuring exceptional patient experience, and supporting front desk staff performance. The ideal candidate is professional, calm under pressure, detail-oriented, and confident in leading a team while maintaining excellent customer service standards.

Front Desk Leadership & Oversight

  • Lead and support front desk team members in daily operations
  • Serve as the primary point of contact for front office questions and escalations
  • Model professionalism, empathy, and efficiency in all patient interactions
  • Assist in training and onboarding new front desk employees
  • Ensure consistency in scheduling, check-in/out processes, and patient communication
  • Monitor workflow and adjust staffing or responsibilities as needed
  • Knowledge of verification of insurances, deductibles, co-pays, co-insurance.
  • Answering phone calls. Accurately taking and delivering messages to appropriate providers and staff.
  • Daily faxing, scanning, and data entry.
  • Scheduling new and returning patients.
  • Knowledge of all providers’ schedules and restrictions.
  • Patient check-in and checkout.
  • Posting daily payments accurately, generate daily report at the end day.
  • Professional looks, dress, hygiene and overall appearance that you would expect to see in a Plastic Surgery practice.

Administrative & Operational Duties

  • Oversee scheduling accuracy and provider template management
  • Ensure proper verification of insurance and collection of payments
  • Monitor front desk metrics (wait times, scheduling accuracy, call response time)
  • Maintain HIPAA compliance and patient confidentiality
  • Collaborate with clinical and billing departments to ensure seamless workflow
  • Assist management with reporting, audits, and process improvements

Required Experience:

  • Minimum of 5 years experience in a busy medical clinic setting
  • Minimum of 1–2 years in a leadership or senior front desk role preferred
  • Strong knowledge of medical scheduling systems and EMR platforms
  • Experience with insurance verification and payment collection
  • Excellent phone communication and de-escalation skills
  • Strong multitasking ability in high-volume environments
  • High level of professionalism and discretion
  • Previous experience using various EMR systems
  • All other duties as assigned

  • General office environment. Input to the computer and other office equipment as outlined below.
